The Include Debit Tips In Drawer Expected Count store setting controls whether debit tips are counted as cash in your drawer's expected count at close. This article explains how the setting works and what to do at close.

Every dispensary handles debit card tips a little differently. Some stores keep tips inside the drawer along with cash sales and reconcile everything at close, while others pull tips out of the drawer the moment a transaction happens and keep them in a separate tip jar. The Include Debit Tips In Drawer Expected Count setting lets your store match Flowhub to the workflow you already follow.

When the setting is enabled, debit tips are added to the drawer's expected cash count and counted alongside cash sales at close. When the setting is disabled, debit tips are treated as already removed from the drawer and never appear in the expected count or in tip reporting. Both options produce the same final deposit number, but the day-to-day steps your budtenders and managers follow at close are different.

Updating this setting requires the Can View and Can Edit permissions for Store Settings under your role. If you do not see this option, ask a Manager to update it for you.


Understand How the Setting Affects Your Drawer Close

Before changing the setting, it helps to know what each state means for your team's workflow.

  1. When the setting is enabled (Include Debit Tips In Drawer Expected Count = ON):

    • Debit tips collected during the shift are added to the drawer's expected cash count.

    • Budtenders count debit tips as part of the cash total when closing the drawer.

    • After the drawer is closed, the budtender pulls debit tips out of the deposit before the Manager finalizes it.

  2. When the setting is disabled (Include Debit Tips In Drawer Expected Count = OFF):

    • Debit tips are treated as already removed from the drawer at the moment of the transaction.

    • Debit tips do not appear in the expected cash count at close.

    • Debit tips are not included in tip reporting in Flowhub.

    • The drawer close is a cash-only reconciliation, and tips live in a separate jar that is not tracked through Flowhub's drawer close.

๐Ÿ’ก Tip: The setting changes the math Flowhub displays at close. It does not move actual cash for you. Your team still needs to physically separate tips from cash according to whichever workflow you choose.


Update the Setting

  1. Navigate to Account from the left navigation.

  2. Select Store Settings.

  3. Locate the Payments section.

  4. Select the checkbox next to Include Debit Tips In Drawer Expected Count to enable it, or clear the checkbox to disable it.

  5. Select Save.

Note: Changes take effect immediately. To avoid confusing the expected cash count for a drawer that is already open, plan setting changes around a clean drawer close.


Close a Drawer With the Setting Enabled

When the setting is on, debit tips appear inside the expected cash count, so your team counts them with the cash and pulls them out after close.

  1. Count out the next day's opening bank balance and record it as a Drop.

    • Open Flowhub Maui and navigate to the Drawers tab.

    • Select your drawer, then select Drop.

    • Enter the drop amount and a reason (for example, "Next Day's Opening Balance").

    • Enter your PIN and confirm.

  2. Select Count and Close on your drawer.

  3. Review the expected cash count displayed by Flowhub. With the setting enabled, the expected count includes:

    • Cash sales from the shift

    • Debit tips collected during the shift (shown as cash)

    • Any cash adjustments made during the shift (drops, payouts, pay-ins)

  4. Physically count the cash remaining in your drawer.

    • Do not include the opening bank balance you set aside in step 1.

  5. Enter your counted amount into Flowhub's cash count fields.

  6. Review the variance between expected and actual.

    • If there is a discrepancy, note it before proceeding.

  7. Confirm and save, then enter your PIN to finalize the close.

    • A receipt will print with the deposit amounts.

  8. Pull debit tips out of the deposited cash.

    • The debit tip total is listed on the closing receipt.

    • This cash goes to the budtender along with the cash tip jar.

    • Leave the remaining amount in the deposit.

๐Ÿ’ก Tip: The Manager's expected deposit amount is total cash sales minus total debit tips. The actual cash in the deposit envelope will be lower than total cash sales by the tip amount, and that is correct.


Close a Drawer With the Setting Disabled

When the setting is off, debit tips were removed from the drawer at the time of each transaction, so the drawer close is a cash-only count.

  1. Count out the next day's opening bank balance and record it as a Drop.

    • Open Flowhub Maui and navigate to the Drawers tab.

    • Select your drawer, then select Drop.

    • Enter the drop amount and a reason (for example, "Next Day's Opening Balance").

    • Enter your PIN and confirm.

  2. Select Count and Close on your drawer.

  3. Review the expected cash count displayed by Flowhub. With the setting disabled, the expected count includes:

    • Cash sales from the shift

Which option should my store choose?

If I turn the setting on or off, does it change past drawer closes?

  • No. The setting affects only drawers closed after the change is saved. Previously closed drawers keep the expected count they were calculated with at the time.

Why is my expected cash count higher than I thought it would be?

  • If the setting is enabled, debit tips collected during the shift are included in the expected cash count. This is expected behavior, not a bug.

My actual count does not match the expected count. What should I do?

  • Recount the drawer without the opening bank balance you set aside. If the variance remains, note the amount and reason, then notify your Manager before submitting the close. Do not pull money from the opening bank balance to cover a shortage.

A budtender forgot to drop the opening bank balance before closing. What now?

  • Do not guess or adjust the count. Contact your Manager for guidance on correcting the close.

Can I change the setting in the middle of a shift?

  • The change takes effect immediately, so it is not recommended. If you switch the setting while a drawer is open, the expected cash count will recalculate using the new rule, which can be hard to reconcile against tips that were collected before the change. Wait until all drawers are closed before changing it.
