Enable Shifts Functionality for Your Employees

How to enable the ability for employees within a certain role to track their time in Flowhub.

Flowhub’s Shifts feature allows you to track employee work hours by enabling clock in and clock out for hourly roles. In this article, we guide you through granting permissions, enabling hourly roles, and ensuring your team can begin using Shifts accurately and securely.


Set Shift Permissions

Before managing Shifts, your user role must have all necessary permissions enabled.

To enable and manage Shifts, you must have the following permissions turned on in your Role settings:

  • Can View

  • Can Edit

  • Can Create

  • Can Delete permissions on Shifts


Mark Employee Roles as Hourly

Shifts are enabled by selecting the Is Hourly option on a role. Any user assigned to an hourly role will have access to the clock-in and clock-out functions.

  1. From the pop-out menu on the left, select Employees.

  2. At the top of the page, select Roles.

  3. Select the role you’d like to modify, then select Edit.

  4. Under the Basics section, select the Is Hourly checkbox to enable shift tracking.

  5. Select Save.

  6. Instruct any employees assigned to that role to log out and log back in for the change to take effect.

💡 Tip: If multiple roles need shift access (for example, Budtenders and Inventory Associates), repeat this process for each applicable role.


Confirm Shift Enablement

Once the Is Hourly setting is applied and employees log back in:

  • Clock In and Clock Out options become available when clicking their initials in the top right corner.

  • Shift data will automatically begin recording for those users.

Frequently Asked Questions

Why can’t I see the Shifts tab under Employees?
• Ensure your role includes all four permissions: Can View, Can Edit, Can Create, and Can Delete for Shifts.

Do managers need the “Is Hourly” box selected?
• Only if managers need to clock in and out for shifts. Many dispensaries reserve this option for hourly staff roles.

Do users need to log out after roles are updated?
• Yes. Logging out and back in refreshes permissions and activates the ability to clock in and out.
