Manage Roles

This article describes how Employee permissions are managed in Maui using Roles.

Flowhub’s Roles feature allows you to define what each team member can access and manage within the system. Typical roles may include "Budtender," "Inventory Manager," or "GM,". Within each role, specific permissions unlock different sections of Maui. In this article, we’ll guide you through creating, editing, and managing employee roles so your dispensary operates efficiently and securely.


Permission Access Levels

Each permission comes with up to four levels of access:

  • Can View: Only allows you to see a specific item.

  • Can Edit: Only allows you to edit an existing item.

  • Can Create: Only allows you to create a new item.

  • Can Delete: Only allows you to delete a specific item.

    • You can select multiple permissions per role.

    • Some roles, like Inventory, Drawers, Sales, and Carts, have additional options.


Create a New Role

  1. From the main menu in the top-left corner, select Employees.

  2. At the top of the page, select Roles.

  3. Select New Role.

  4. Enter the Role Name (for example, Budtender or Inventory Manager).

  5. If this role includes employees who clock in and out, select the Is Hourly checkbox.

  6. Choose the appropriate permissions for this role (Can View, Can Edit, Can Create, Can Delete).

  7. Select Save Role.

💡 Tip: Use clear and descriptive names for roles so it’s easy to identify each team’s function later.


Edit an Existing Role

  1. From the Roles page, select the role you’d like to modify.

  2. Select Edit on the right side of the window.

  3. Adjust the role name, permissions, or Is Hourly checkbox as needed.

  4. Select Save Role.

💡 Tip: After editing a role, employees assigned to it should log out and back in for the updates to take effect.


Copy an Existing Role

  1. Select the Role you want to copy.

  2. On the right side of the screen, select Copy.

  3. Give the role a name and description, make any changes, and then select "Save."


Delete a Role

If a role is no longer needed, you can remove it from your system.

  1. From the Roles page, select the role you wish to remove.

  2. Select Delete on the right side of the screen.

  3. Confirm you want to delete the role.

💡 Tip: Before deleting a role, ensure no active employees are assigned to it. If needed, reassign employees to a different role first.

What’s the difference between a role and a permission?

  • A role defines a set of permissions. Permissions control what actions employees can take within Flowhub (for example, editing inventory or viewing reports).

What are the best practices for role permissions?

Can I assign multiple roles to one employee?

  • No. Each employee can have only one role at a time, but you can update their role as responsibilities change.

Why can’t my employee clock in or out?

  • Confirm that their assigned role includes the Is Hourly checkbox and that they’ve logged out and back in since the update.

Can I copy an existing role to create a new one?

  • Yes. Click on the existing role you want to duplicate and select the Copy button. Name the new role and make any desired changes before saving.
