Import and Bulk-Import Inventory by Manifest (Biotrack)

This article describes how to import inventory by Manifest for Biotrack users.

Flowhub makes it easy to receive inventory from BioTrack by importing manifests directly into your system. In this article, weโ€™ll guide you through importing a BioTrack manifest so that inventory is received accurately and stays compliant.


Before You Begin

Before importing a manifest, confirm the following:

  • Your location is integrated with BioTrack

  • The manifest has been created and approved in BioTrack

  • You have permission to Create New Inventory

  • All packages on the manifest are intended for receipt at this location

๐Ÿ’ก Tip: Manifests cannot be edited once imported.


Accept a BioTrack Manifest

Importing a manifest pulls package data from BioTrack into Flowhub for review.

  1. Navigate to Inventory.

  2. Select Manifests(New Mexico) or the Intake Tab (Florida)

    • New Mexico: You will only see Manifests in Flowhub that have not yet been accepted in Biotrack. Accepting the Manifest in Flowhub will also accept the Manifest in Biotrack for you. If a Manifest has already been accepted in Biotrack, you will import that inventory using the Biotrack tab, not the Manifests tab in Flowhub.

  3. Select the Manifest you would like to import

    • A list of the packages in the Manifest will display on the right side of the page. Check off the "Correct?" radio button next to each Package, then select the yellow "Receive Manifest" button at the bottom of the package list when all packages are selected.


Import a BioTrack Manifest

  1. After the Manifest is accepted, you can now add each package to the Flowhub Inventory.

  2. Select a Package in the Manifest, then select Create Inventory

  3. You will be prompted to select a Product from your Catalog and add the package to your Maui inventory.

    • If you don't have the Product in your Catalog yet, you can select Create a New Product to build the product information when adding this item to your inventory.

    • The box on the right gives information directly from BioTrack.

  4. Enter the quantity and assign the inventory to a Room

  5. Batch Specific Pricing

    • If the greyed-out price and cost on the left are correct, you can skip this section. If the price or cost for this batch has changed, you can update it using the boxes on the right.

  6. Enter any other required fields that are marked with an asterisk (*).

  7. Select Save

    • The next time you import packages of those items, Flowhub will remember which Products you associated previously, and they will be Bulk-Importable in Manifests in the future.

A message will display confirming the manifest has been imported successfully.


Bulk Import Manifests

If the manifest includes packages that were previously imported into Flowhub, a Bulk Import button will display in the upper area of the manifest.

๐Ÿ’ก Tip: If the Bulk Import button does not display, none of the packages on the manifest have been imported into Flowhub before.

  1. Review the suggested products by viewing the Metrc name vs. the Flowhub Product name. If everything looks correct, you can use Bulk Import.

  2. Select Bulk Import.

  3. Select the Destination Room where the full quantity of each package will be stored.

  4. Select Import.

    • If any required fields on the Inventory item can't be completed through Bulk Import, those inventory items will be tagged with the yellow Out of Compliance warning.

A message will display confirming inventory has been created.


Frequently Asked Questions

Why canโ€™t I import a manifest?

  • The manifest may not be approved in BioTrack, or your user role may not have the required permissions.

Why are there items now marked Out of Compliance?

  • If there are any required fields from the Bulk Import Manifest that can't be completed through Bulk Import, our system will mark it as Out of Compliance.
