Maui: Add Inventory

This article will walk you through the four different ways to add Inventory to Maui.

Flowhub Maui offers users a variety of workflows for importing inventory. While some dispensaries may appreciate being able to import their Active Packages from Metrc into Flowhub by using the Metrc Tab, other dispensaries may find it faster and easier to scan a Package Tag from Metrc to quickly pull up the package information and get the inventory imported into Flowhub. This article will show the 4 different ways on how to add Inventory into Flowhub:


Manually Add Inventory

  1. First, ensure that you have the corresponding Product built into your Product Catalog. You cannot bring the inventory into Maui until this step is completed first.

  2. Navigate to the pop-out menu on the top-left of the screen and select Inventory.

  3. Select the "New Inventory" button in the upper right corner

  4. Select "Select a product" to choose from your Product Catalog:

    • You can filter the category, or search from the list of all your PRODUCTS.

  5. Once you've selected the Product you'd like to bring into Inventory you'll want to choose the variant from the drop-down on the right side and if the product is Med or Rec (when applicable).

    • Hit the orange "Select" button.

  6. Set a Quantity for the item.

  7. Select a Room to add the item to.

    • Split the inventory between rooms if you'd like by selecting "ADD ANOTHER ROOM"

  8. Update Batch-Specific Pricing (optional):

    • The default price and cost information from the Product will be on display in the form on the left for ease of reference.

    • If desired, you can add a new price and/or cost to this specific batch of Inventory.

      • If you leave Batch Specific Price & Cost blank, the Inventory will priced as per the Default Product Price & Cost that is displayed.

    • The Batch-Specific price set at the inventory level will override any and all other price settings on the Product, including med/rec pricing and store-specific pricing.

    • Setting a new Batch-Specific price or cost will not update the default price and costs on the Product.

      • If you need to update the Default Price and Cost values (displayed in the grayed-out boxes on the left), you can do so by Editing the Product in "PRODUCTS."

  9. Add Supplier and Batch information if applicable.

    • Supplier name

    • Supplier license

    • Batch number

    • Expiration date

    • Regulatory ID (Package ID)

    • State Reporting UOM

    • Any applicable "Optional Fields"

    • SKU

      • If you do not enter a custom SKU, one will be automatically generated for you.


The Metrc Tab

Please note that the following must be in place to use the "Metrc" tab:

  • The Dispensary must have an active license in a state that uses Metrc for tracking.

    • Please note that the user's Metrc API key must give the user access to the "Packages" tab in Metrc.

  • The Package ID that was scanned is an Active Package that has a "Last Modified Date" of 90 days or less.

  1. First, ensure that you have the corresponding Product built in your Product Catalog. You cannot bring the inventory into Maui until this step is completed first.

  2. Navigate to the pop-out menu on the top-left of the screen and select Inventory.

  3. Select the "Metrc" across the purple bar across the top of your screen

  4. Search for the package you would like to add to Flowhub as Inventory. Any item with the discrepancy "Active Pkg Not in Flowhub" means it needs to be added into Flowhub to sell it.

  5. To add it as inventory, select the package, then on the right side you will see details about the Package and button options to "Fix Flowhub" and "Fix Metrc."

  6. Once you select "Fix Flowhub", this will bring you to the Inventory Import page, where you are prompted to select the Product from your Catalog and bring the package into your Maui inventory.

    • Maui has a "fuzzy matching" capability to auto-select a Product for you if it is similar to the name of the Package in Metrc. If an incorrect Product was selected, you can choose the correct Product by selecting the name of the Product with the hourglass button.

  7. You will be prompted to select the Product from your Catalog and bring the package into your Maui inventory. You will see the information about the Package on the right side.

    6. Select "Select A Product" to choose the Product associated with this Metrc tag, and complete all required fields. Any field marked with an asterisk must be completed.

    7. Select "Save" to create the inventory.


Scanning the Package Tag

Please note that the following must be in place to use the "Import" button:

  • The Dispensary must have an active license in a state that uses Metrc for tracking.

    • Please note that the user's Metrc API key must give the user access to the "Packages" tab in Metrc.

  • The Package ID that was scanned is an Active Package that has a "Last Modified Date" of 90 days or less.

  1. First, ensure that you have the corresponding Product built into your Product Catalog. You cannot bring the inventory into Maui until this step is completed first.

  2. Navigate to Inventory, then select "New Inventory."

  3. While on the New Inventory page, select the yellow Import button in the upper right corner next to Save:

  4. You will then be prompted to scan or enter the Metrc Package ID that you wish to import:

5. If you have entered a Metrc Package ID that is Active, this will bring you to the Inventory Import page, where you are prompted to select the Product from your Catalog and bring the package into your Maui inventory. You will see the information about the Package on the right side.

6. Select "Select A Product" to choose the Product associated with this Metrc tag, and complete all required fields. Any field marked with an asterisk must be completed.

7. Select "Save" to create the inventory.


Uploading a CSV File

  1. Open the Menu on the left side and select "Inventory"

  2. Once in "Inventory," click the "Upload CSV" button in the upper right.

  3. In the right field, choose the category type you will be working on.

    • You can download templates for every category, even custom categories!

  4. Click "Get Template," and the file will download to your computer.

  5. Fill out the template with your inventory for this category, following the guidelines in the template.

    1. Anything with an asterisk (*) in the heading is required to upload the file.

  6. Save as a CSV file.

  7. Go back to the "Upload CSV" button on the inventory page.

  8. Choose the file you want to upload from the left field.

  9. Select the category type in the right field.

  10. Click "Upload."

    1. If you have any errors, you will see what errors occurred, and an option to download the CSV with the errors. Fix the errors in the CSV and reupload.

  11. Repeat for all categories.
