This article describes how to enable clock in/out for employees, how to edit open shifts, and how to pull shift reports in Flowhub Maui.

Shifts is a dynamic timekeeping feature embedded in Flowhub Maui that allows your operation to keep track of Employee hours worked across your store locations.

Managing Shifts

  1. First, in order to enable and manage Shifts for your employees, you must have all "Can View, Can Edit, Can Create, and Can Delete" permissions on Shifts as well as the "Is Hourly" box checked on your Role.

  2. The SHIFTS role grants comprehensive control over shifts in the application.

Marking Employee Roles as Hourly (to Enable Shifts)

  1. Shifts (the ability to clock in and clock out) is enabled by selecting the "Is Hourly" permission on a Role. Determine which Roles at your store need to clock in and clock out for each shift, and update their Role to select the "Is Hourly" checkbox. This will allow any user assigned to that Role to clock in and out through Flowhub.

  2. Use the pop-out-menu on the left to navigate to Employees, then select "Roles" from the purple bar at the top of the page.

  3. Select the Role you'd like to Edit, and select "Edit."

  4. Select the "is Hourly" checkbox underneath the Role Name at the top of the page to enable the ability to clock in and out for users assigned to that role:

  5. Save the Role. Instruct any users assigned to that Role to log out and back in again for the change to reflect:

Add a Shift

If your employee forgets to clock in and out, you can easily add a shift to their profile.

  1. Navigate to the Shifts tab within the Employees section

  2. You will see the "Add Shift" button in the upper right corner of the screen

  3. You will be prompted to select the employee the shift is for.

    • Enter the start time. If your employee forgot to clock out, go ahead and add a clock-out time

  4. Once you are done, enter your PIN and save.


Note: If you need to create a shift for a different store, navigate to that store using the store switcher and add the applicable shift there.

Editing or Deleting A Shift

If an employee forgets to clock in or out, or switch locations, you're able to edit their shift details so that your reports are accurate.

  1. Use the pop out menu on the left to navigate to "Employees," then select "Shifts" from the purple bar at the top. All shifts will display here, and this list can be filtered by Store, by User, or by Date.

  2. Find and select the Shift you would like to Edit, then select "Edit" from the right side details panel. Select "Delete" if you'd like to delete the shift.

  3. When Editing, you are able to change the clock in and clock out times. You are currently not able to change the Store where the shift was worked. Please make sure your Employees take care to clock out when switching locations.

  4. By design, you cannot alter a shift past the current day and time. If you attempt to set a shift to end later than the current time, you will see this warning. Please note that the Time Zone referenced in Shifts is the Time Zone of the store's location, not the Time Zone of the current user's device.

  5. Enter your PIN to approve the edits and select "Save." The PIN entered must be of the manager making the Edits, not the PIN of the Employee.

  6. When a shift has been edited, an "Edited" tag will appear next to the shift.

    • To view the Edit History on a particular shift, select "Activity" next to "Details" underneath the name of the Employee in the Details pane on the right side:

  7. When a shift has been deleted, a "Deleted" tag will appear next to the shift. Once a Shift has been Deleted, it can no longer be Edited.

Pulling a Shifts Report in Analytics

The "Shifts" report has been added to Analytics to allow you to easily report on hours worked across your staff and stores.

  1. Navigate to Analytics using the pop out menu on the left side.

  2. Select the "All Reports" View on the left hand side, then use the search bar at the top to quickly find your Shifts report. You can also scroll through the standard reports and find it in the list alphabetically.

  3. Select "View" to pull your report, which will display the Employee Name, Store, Hours Worked, and Start Days/Times and End Days/Times.

    • Deleted shifts are excluded from the report

    • Total hours for each employee during the selected date range are presented at the bottom of the report.

  4. If any changes need to be made to a specific shift, follow the steps above under "Editing or Deleting A Shift".
