Flowhub's Order Fulfillment workflow makes it quick and easy to hand an in-store order to a back room instead of gathering products at the register. In this article, we'll guide you through setting it up so your budtenders can keep taking orders while another team packs them.
Watch the video below to see the workflow in action:
Turn On In-Store Fulfillment
✏️ Note: Only users whose role includes access to Store settings can change this setting.
Navigate to Account > Store settings.
Select Cashier in the left navigation.
Select In Store Fulfillment.
Select Save all settings in the upper right.
💡 Tip: The Order Fulfillment Options group in the same section — Scan to Verify and Clear Cart When Printing Order Ticket — decides what your team does at checkout. Choose one before you train your staff, and see Complete the Sale below for how each one works.
Send an Order to Fulfillment
Check the customer in and build their cart as you normally would.
Select Send to Fulfillment.
The order displays on the Order ahead page in the New lane with a Walk-In tag.
Fulfill the Order
Navigate to Cashier > Order ahead.
Select the order in the New lane. The order moves to In Progress and records the fulfiller's name.
Gather the items for the order.
While the order is open you can confirm or change package IDs, add items to the cart, or remove items from the cart.
Select Notify customer order is ready when the order is packed. The order moves to the Ready lane.
Your board tracks every order through New, In Progress, and Ready. Stores that offer delivery will also see Ready for Delivery and Out for Delivery.
💡 Tip: Filter by Walk-In to see only the orders your budtenders sent from the register, and select the printer icon above a lane to reprint tickets for every order in that status. The colored dot shows how long an order has been waiting — green under an hour, yellow 1 to 2:59 hours, and red 3 hours or more.
Complete the Sale
When the order is ready, the customer's queue card displays Fulfillment complete with a green checkmark and the number of items, and the PICKUP button becomes available.
Select the customer from the queue.
Review the cart. What your cashier does here depends on the Order Fulfillment Option your store uses:
Neither option enabled — The cart is ready as packed. Review it with the customer.
Clear Cart When Printing Order Ticket — The cart was emptied when the order was sent, so add the items again at checkout. This adds a check that the right products made it into the bag.
Scan to Verify — The cart stays intact, including deals and manager overrides. Scan each product until every line displays as verified. A user with the Scan To Verify Manual Override permission can verify an item with a PIN when a barcode is damaged.
Collect payment to complete the transaction.
Settings That Shape This Workflow
Order notes — Inventory items have an optional notes field for the physical location of an item or other information your fulfillment team needs. When Print Order Notes On Order Ticket is enabled under Store settings > Printing, those notes print on order ahead and fulfillment tickets.
Exit labels — Exit labels can be preprinted during fulfillment. If a label is preprinted, it will not print again at the time of sale, and it can still be printed manually from the completed sale.
Cart changes — Items can be added or removed, and package IDs can be changed, on orders that have been sent to fulfillment.
Printer Notes
We recommend using a network or Bluetooth receipt printer for fulfillment order tickets.
Network printers allow many connections to one printer, while Bluetooth printers only support a one-to-one connection.
Frequently Asked Questions
Can my team change an order after it has been sent to fulfillment?
Yes. Package IDs can be changed, and items can be added or removed, while the order is open on the Order ahead page.
Will exit labels print twice if we preprint them?
No. Labels printed during fulfillment will not print again at the end of the sale. They can still be printed manually from the completed sales section.
Where do in-store orders appear on the Order ahead page?
In the same lanes as online orders. Filter by Walk-In to see only the orders sent from the register.
Do we have to use Scan to Verify?
No. Scan to Verify, Clear Cart When Printing Order Ticket, or neither are all supported. Choose the one that matches how your team works.
Great work! 🥳
Your team can now send in-store orders to your fulfillment area, track them through to Ready, and check customers out with confidence.
