Configure Loyalty Point Expiration

Set up loyalty point expiration in Maui POS.

Flowhub Loyalty Point Expiration makes it quick and easy to set a timeframe for when earned loyalty points expire. In this article, we'll guide you through configuring expiration settings so your team can manage point balances and encourage customers to redeem rewards on time.

Note: Loyalty Point Expiration is only available for dispensaries using Flowhub's native loyalty program. This feature does not support third-party loyalty integrations.


Configure Point Expiration Settings

  1. Navigate to Marketing from the main menu, then select Loyalty at the top of the page.

  2. Select the loyalty program you want to update, or create a new one.

  3. Locate the expiration settings and enter a value for Points Expire After.

    • This is the number of days from when points are issued until they expire.

    • Points remain valid through the end of the expiration date. For example, if points expire on September 5, customers can still redeem them on September 5. The points are removed starting September 6.

  4. Enter a value for Display Alert Before Expiration.

    • This controls how many days before expiration Flowhub begins displaying reminder alerts.

    • For example, if points expire in 90 days and the alert window is set to 14 days, reminders will begin two weeks before expiration.

  5. Select Save.

πŸ’‘ Tip: Expiration is optional. You do not need to enable it to run a loyalty program.

✏️ Note: When you add expiration settings to an existing loyalty program, the changes apply only to points earned after the setting is enabled. Previously earned points are not affected.


Understand How Points Are Redeemed

When a customer redeems loyalty points, Flowhub applies them in a specific order to ensure the oldest and most at-risk points are used first:

  1. Legacy points (points issued before expiration was enabled) are redeemed first, starting with the oldest.

  2. After legacy points are used, points expiring soonest are redeemed next.

  3. If multiple point balances share the same expiration date, points are redeemed using first-in, first-out (FIFO) order.

View Expiration Alerts in Cashier

  1. When a customer's points are approaching expiration, a message such as "Some points expiring soon" will display within the point total card in Cashier.

    • This message appears based on the Display Alert Before Expiration window you configured.

  2. Select Available Rewards when there are items in the cart to open a modal showing available points and upcoming expiration dates.

  3. When applying Loyalty Rewards at checkout, the same modal displays so your team can share expiration details with the customer.

Review Expiration Details on Receipts

Customers will see loyalty expiration information printed on their receipts, consistent with the alert window configured by your dispensary.

  • Receipt alerts follow the same timing as the in-Cashier alerts. If the alert window is set to 14 days, customers will see reminders on receipts starting two weeks before expiration.

Does expiration apply to manually issued points?

  • Yes. Expiration applies to all loyalty point types, including points earned through purchases and points issued manually.

What happens to points that were earned before I enabled expiration?

  • Points earned before expiration was enabled are treated as legacy points. They do not expire, but they are redeemed first when a customer uses their points.

Can I use point expiration with a third-party loyalty integration?

  • No. Loyalty Point Expiration is only available for dispensaries using Flowhub's native loyalty program. Third-party loyalty integrations are not supported.

Do customers receive alerts about expiring points?

  • Yes. Customers see expiration reminders on their receipts and in their Loyalty Pass digital wallet, based on the Display Alert Before Expiration window you configured.
