Scan to Verify Inventory in Maui

Scan every item in an order before checkout from the Order ahead page or the Cashier queue. Covers setup, what counts as a scan, clear cart, reset, and manual overrides.

Written by Valerie

Scan to Verify makes your team scan every item in an order before the customer pays. The order's original items stay in the cart, and each scan checks the product against what the customer ordered. Mix-ups get caught at the counter instead of after the customer leaves. In this article, we'll cover where Scan to Verify works, how to verify an order from each place you can open it, and what to do when a scan doesn't match.

Where Scan to Verify Works

Scan to Verify turns on for any cart that was created from an order. You can verify that order from either of these places:

  • Order ahead page: any order you open from the Order ahead board, including Ecommerce pickup orders, delivery orders, Kiosk orders, and walk-in orders sent through the Order Fulfillment Workflow.

  • Cashier queue: a customer in the main queue whose cart came from an order. This works well for stores that pack orders in the back but check customers out at the front register.

✏️ Note: Scan to Verify does not apply to walk-up sales that weren't placed as an order, or to Cannabis Lounge table orders. Those carts check out the usual way.

Enable Scan to Verify

✏️ Note: Only users with access to Store Settings can enable this feature.

  1. Navigate to Store Settings > Cashier.

  2. Locate the Order Fulfillment Options section.

  3. Select the Scan To Verify toggle to enable it.

  4. (Optional) Enable Do Not Require Scan To Verify On Unregulated Items if you don't want staff to scan accessories, apparel, and other items with no regulatory type.

  5. Select Save All Settings.

💡 Tip: Scan To Verify and Clear Cart When Printing Order Ticket are separate options under Order Fulfillment Options. You can enable one or the other, not both.

Verify an Order from the Order Ahead Page

  1. Select Order ahead from the Cashier tab bar.

  2. Select the order you want to verify.

    • The Items in order tab lists each product with its In Cart, Verified, and Ordered quantities. The header shows your progress (e.g., "0 of 1 verified").

  3. Scan the barcode on each product in the order.

    • Each scan updates that product's Verified count. Fully verified items display a green checkmark.

  4. Continue scanning until every item is verified.

    • Until then, the checkout button shows how many items are verified (e.g., "3 of 4 items verified") and can't be selected.

  5. Select check out once every item is verified. If the order isn't linked to a customer profile yet, the button reads match profile and check out.

✏️ Note: If you leave the order while verification is in progress, a Warning – Cart Verification In Progress message displays. Selecting Leave and Reset Order to Original State resets the order, and every item will need to be scanned again. Close the message to stay on the order and keep scanning.

Verify an Order from the Cashier Queue

  1. Select the customer from the main queue.

    • The Items In Order tab displays by default, and each item in the cart shows its verification status (e.g., "0 of 2 verified").

  2. Scan the barcode on each product in the order.

  3. Select Collect Payment once every item is verified.

💡 Tip: If your store uses the Order Fulfillment Workflow, the fulfillment team can verify the order as they pack it, then select Notify customer order is ready. Learn more in Use the Order Fulfillment Workflow.

What Counts as a Scan

  • Product barcodes: scan the product's barcode the same way you would to add it to a cart.

  • LucidID tags: scanning an item's LucidID verifies it. If that LucidID was previously marked as sold, select Mark Unsold & Verify.

  • Weighted items: once a weighted item is fully verified, scanning it again displays Item already verified. To add more weight, update the quantity from the cart.

✏️ Note: LucidID CaseIDs can't be scanned at checkout. Scan them during inventory intake.

Handle a Scan That Doesn't Match

If a scan doesn't match the order, a message displays so you can decide what to do.

  • Wrong Package ID: the product is correct, but the package isn't the one reserved for the order. Select Add to cart to use the scanned package, or dismiss the message and scan the reserved package.

  • Item not on the order: the product isn't part of the original order. Select Add to cart if the customer wants it. The item is added and marked as verified. Adding a different product does not replace an original item that still needs verification.

Manually Verify an Item

If a barcode is damaged or unreadable, a user with the Scan To Verify Manual Override permission can verify the item manually.

  1. Select Verify Manually on the item that can't be scanned.

  2. Enter a manager PIN.

    • The PIN must belong to a user whose role has the Scan To Verify Manual Override permission, found under Carts in role permissions.

Remove an Item the Customer No Longer Wants

[HOLD: publish this section only after Engineering confirms BUG-1138 is live.]

  1. Select the three-dot menu on the item in the cart.

  2. Select Remove from cart.

    • The item stays on the Items in order tab for reference, and its Verified column shows a dash (–) because it no longer needs verification.

  3. Verify the remaining items, then check out.

✏️ Note: If you add a removed item back to the cart, it needs to be verified again.

Reset an Order to Its Original State

If a mistake is made while scanning, or the cart no longer matches what the customer wants, reset the order and start over.

  1. Select Reset order to original state from the order's menu.

  2. Select Reset Order to Original State to confirm, or Go Back to keep the cart as it is.

    • Cart edits are undone, any added items are removed, and every item needs to be verified again.

  3. Begin scanning items again from the start.

✏️ Note: Selecting clear cart empties the cart, including any deals. The original order items stay on the Items in order tab and still have to be verified before checkout.

Frequently Asked Questions

Can I check out without verifying every item?

  • No. Every item in the order must be verified by scanning it or by using Verify Manually. The only exception is unregulated items, if your store has enabled Do Not Require Scan To Verify On Unregulated Items.

Does Scan to Verify work for delivery orders?

  • Yes. Open the delivery order from the Order ahead page and scan each item before checkout, the same as a pickup order.

Do deals and discounts stay on the cart while I scan?

  • Yes. Deals, discounts, and manager overrides stay in place while you scan. Selecting clear cart removes them along with the cart contents.

Can I scan a different product to replace one from the order?

  • Only a different package of the same variant counts toward an original item. Any other product is added as a new item, and the original still needs to be verified.

Why didn't Scan to Verify turn on for this cart?

  • Scan to Verify only applies to carts created from an order. Walk-up sales and Cannabis Lounge table orders aren't verified. Also confirm that Scan To Verify is enabled in Store Settings > Cashier.

Who should have the Scan To Verify Manual Override permission?

  • We recommend managers and above. It's meant for damaged or unreadable barcodes when the product still needs to be sold.

Great work! 🥳 Your team can now verify every order before checkout, whether it starts on the Order ahead page or in the Cashier queue.
