Create/Connect BioTrack Users in Maui (FL Only)

This article describes how to set up a BioTrack user in Florida (FL).

Flowhub Maui integrates with the BioTrack State Traceability system, allowing users to bring in Inventory from BioTrack and report sales to Traceability via API. This article goes over:


Add BioTrack Traceability Credentials to the first Employee in Flowhub

Note: credentials will need to be entered for every Employee in Flowhub per Store. Please follow these steps for additional employees.

  1. Log in to Flowhub Maui at app.flowhub.com.

  2. In the upper right corner, select the user's initials, then select "My Profile."

  3. With the "Edit User" page open, scroll down to the "Regulator Credentials" section and select the state.

  4. Enter the "Username," "Password," and "UBI (Universal Business Identifier)" under "Regulator Credentials."

  5. Username/Password will be the Traceability credentials used for logging into BioTrack.

  6. Select "Save" in the upper right corner.

  7. Enter your PIN. Credentials are now saved.

Select Employee with Credentials in Regulator Store Settings

  1. Log in to Flowhub Maui at app.flowhub.com.

  2. Open the menu by selecting the Flowhub logo in the upper left corner of the screen and select "Account".

  3. Select "Regulatory Compliance" from the options on the left side.

  4. Use the dropdown to select the Employee for whom BioTrack credentials were entered on the profile in Flowhub.

  5. Select "Save All Settings" in the upper right corner


Add/Create Additional BioTrack Traceability Credentials

Note: This cannot be done until one person has added their BioTrack credentials on their profile and selected the employee in Regulator Store Settings.

  1. Log in to Flowhub Maui at app.flowhub.com.

  2. Navigate to the circle with initials in the upper right corner of the screen. Then select "BioTrack User" in the dropdown.

  3. A pop-up window will appear with two options:

    • Enter Credentials on Profile (select this if you already have a BioTrack login)

    • Create User (select this if you do not have a BioTrack login yet)

Enter Existing BioTrack Credentials on Flowhub Profile (select this if you already have a BioTrack login)

Note: credentials will need to be entered for every Employee in Flowhub per Store. Please follow these steps for additional employees.

  1. Log in to Flowhub Maui at app.flowhub.com.

  2. In the upper right corner, select the user's initials, then select "My Profile."

  3. With the "Edit User" page open, scroll down to the "Regulator Credentials" section and select the state.

  4. Enter the "Username," "Password," and "UBI (Universal Business Identifier)" under "Regulator Credentials."

  5. Username/Password will be the Traceability credentials used for logging into BioTrack.

  6. Select "Save" in the upper right corner.

  7. Enter your PIN. Credentials are now saved.

Create User (select this if you do not have a BioTrack login)

Flowhub will automatically generate a Biotrack user and insert it into the Regulator credentials on the Profile.

  • The Username will be the same as the email address on the Employee profile in Flowhub.

  • The password will be randomly generated.

  • The UBI will match the UBI of the Admin user.

  • Possible Create User Error:

    • This error occurs when an employee's email address is already associated with a user in Biotrack. This user should enter their credentials on their profile instead of creating a new login.


Validate a User in BioTrack

  1. After the BioTrack credentials have been added to your profile, you can validate a user.

  2. Select the user menu in the upper right corner of Flowhub.

  3. Select the “BioTrack User” button. Select the button to validate your user.

If the user exists in BioTrack and is validated against It, this will be successful. This means the user exists in BioTrack and can connect.

If user validation fails, there are three options:

  1. Create a new user:

    • Flowhub will attempt to create this user in BioTrack.

      • If this user already exists in BioTrack, the operation will fail, and an error message will appear

      • If this user does not already exist in BioTrack, Flowhub will create a new user, automatically generating a new username & password.

  2. Reset Password:

    1. This will trigger a password reset email from BioTrack to the user, using the Flowhub email address associated with the Employee

  3. Re-enter Credentials on Profile:

    1. This will take the user back to their Flowhub Profile, where they can adjust the credentials entered if there is a typo.

Reset BioTrack Password

  1. To reset your BioTrack password, select “Reset Password,” then check your email address used to log in to Flowhub. (This email is sent from Biotrack.)

  2. The password reset email will be sent from traceability-noreply@ny.biotr.ac and will look like this (This email is sent from Biotrack - not Flowhub):

  3. Select “Reset your password.”

  4. The link will take you to a page to reset your password, hosted by Biotrack:

  5. Once the password is reset, navigate back to Flowhub and update your employee regulation credentials.
