Set Up Delivery Zones

Create delivery zones in Flowhub Ecommerce to set where you deliver, your delivery hours, order minimums, delivery fees, and time slots.

Flowhub Delivery Zones make it quick and easy to control where you deliver, when you deliver there, and the rules that apply to each area. In this article, we'll guide you through creating a zone, managing your zones, and setting store-wide rules so your team can accept delivery orders.

You need at least one active zone to accept delivery orders. Until a zone is active, delivery does not display as an option for your customers.


Navigate to the Delivery Area

  1. Navigate to Ecommerce in the left navigation.

  2. Select the Delivery tab. Two sub-tabs display:

    • Delivery Zones — create and manage the areas you deliver to. This is where you'll spend most of your time.

    • Settings — store-wide delivery rules that apply to every zone, including prepayment, a reminder message, and a customer agreement.

💡 Tip: You can also reach this area by selecting the Delivery Settings card on the Ecommerce home screen.


Create a Delivery Zone

Each zone carries its own area, hours, and rules. You can create as many zones as you need.

  1. On the Delivery Zones tab, select Add Delivery Zone.

  2. Enter a Name for the zone. A name is required.

    • Use a name your team recognizes at a glance, such as Downtown, North Suburbs, or 5-Mile Radius.

  3. Select a Zone Type to define the delivery area:

    • Radius — a circle around a center point, usually your store. Use this for "we deliver within X miles" coverage.

    • Shape — a custom area you draw on the map. Use this to follow neighborhood, highway, or city boundaries.

    • Zip Code(s) — a list of ZIP codes. Use this to match delivery to specific postal areas.

  4. Define the area for the zone type you selected, using the instructions below.

Define a Radius Zone

  1. Set the Radius (mi) using any of three methods:

    • Enter a distance.

    • Select a quick-select button: 5mi, 10mi, 15mi, or 20mi.

    • Drag the slider to a distance between 1 and 75 miles.

  2. Confirm the Center Lat and Center Lng values.

    • These default to your store's location. Adjust them only if you want the circle centered somewhere else.

Define a Shape Zone

  1. Place points on the map to outline your delivery area.

  2. Connect the points to close the shape.

    • A shape can have up to 30 points. If you add more, a message will display asking you to simplify the shape.

Define a Zip Code Zone

  1. Select Zip Code(s) as the Zone Type. The Zip Codes field displays.

  2. Enter a ZIP code and press Enter to add it, for example, 80202.

  3. Repeat for each ZIP code you deliver to.

    • Only the ZIP codes you list are eligible for delivery.

💡 Tip: Radius and Shape zones need an area on the map before you can save. If the area is missing, a message will display reading "Create a shape to define your delivery area." Zip Code zones need at least one ZIP code.

Set Delivery Hours, Order Limits, and Fees

This section of the form controls when the zone delivers, along with its financial and scheduling rules.

  1. Select a scheduling style under Delivery Hours:

    • Every Day — one set of hours applies to all seven days.

    • By Day Of Week — different hours for each day. Use this when your weekend hours differ from weekdays.

  2. Select Set Hours, or select Edit to change hours you already saved.

  3. Enter a Start Time and an End Time.

    • To offer more than one window in a day, select Add another time-frame and enter another range. This is useful when your coverage pauses, such as over a lunch break.

    • A start time cannot be later than its end time.

    • Time frames on the same day cannot overlap.

  4. Select Done.

  5. Enter a Minimum Order amount. This is the smallest order subtotal a customer must reach to check out for delivery in this zone.

    • Enter the amount in dollars, for example $25.00. Leave it blank for no minimum.

  6. Select a Delivery Fee from the dropdown.

    • Fees come from your store's existing Fees list. Create the fee there first, then select it here.

    • Leave the dropdown set to Select a Fee if this zone has no additional delivery fee.

    • If a fee already applies to every delivery order, a note displays reading "The following fees already apply to all delivery orders," followed by the fee name. Those fees apply automatically, so you don't need to select them again.

  7. Select an option from Accepting Delivery Orders to control how far ahead a customer can schedule a delivery:

    • Same Day (exclude next day when closed) — same-day only. Orders do not roll over to the next day while you are closed.

    • Same Day (include next day when closed) — same-day, and next-day while you are currently closed.

    • 1 day through 5 days — customers can schedule that many days in advance.

  8. Set your delivery slots. Slots are the selectable time windows customers pick at checkout, and three settings shape them:

    • Delivery Slot Duration — the length of each window: 30, 60, 90, or 120 minutes. The default is 60 minutes.

    • Slot Order Limit — the maximum number of orders per slot, from 1 to 10. A full slot is removed as a checkout option, which keeps your team from being overbooked. Leave it as No Limit for no cap.

    • Slot Cutoff — how long before a slot begins that it stops being offered at checkout: 30, 60, 90, or 120 minutes. This gives your team lead time to prepare. The default is 60 minutes.

Save Your Zone

  1. At the bottom of the form, select the option that fits where you are:

    • Save as Active — saves the zone and turns it on. The zone is available for delivery orders right away.

    • Save as Inactive — saves the zone and leaves it turned off. Use this while you are still setting things up, or to pause a zone without deleting it.

    • Cancel — discards your changes and returns you to the zone list.

    • Delete Zone — removes the zone permanently. This action cannot be undone.

  2. Refresh your menus so your customers see the change.


Manage Your Delivery Zones

The Delivery Zones tab lists every zone for your store on a color-coded map, with a list beside it.

  1. Select the Delivery Zones tab to review your zones. For each zone, the list displays:

    • The zone name with an Active or Inactive badge.

    • A summary of the minimum order and slot order limit, such as Min $25 • Order limit 5 or No min • No Order limit.

    • The zone type and whether it carries an additional fee, such as Radius • Additional Fee or Zip Code(s) • No addl. Fee.

  2. Select any zone to edit it.

  3. To turn a zone off without deleting it, open the zone and select Save as Inactive.


Set Store-Wide Delivery Rules

The Settings sub-tab holds rules that apply to all delivery orders, no matter which zone they fall in.

  1. Select the Settings sub-tab.

  2. Select Prepayment for Delivery Orders to require your customers to prepay for all delivery orders at checkout.

    • When this setting is off, customers can place delivery orders without paying up front.

    • To set up prepayment for delivery, contact your Flowhub rep or email help@flowhub.com.

  3. Enter a Delivery Reminder Message. This message is optional, and customers see it during checkout and on the order completion page.

    • Use it to set expectations for a smooth delivery, for example: "Please have your state issued ID ready for your delivery driver."

  4. Select the Customer Agrees checkbox to require your customers to acknowledge and agree to a statement before placing an order. Enter the text they must agree to.

    • For example: "By clicking 'Place Order', I agree that I will be present at my residential address to accept delivery."

  5. Select Save. A message will display confirming that your store delivery settings were saved.


Frequently Asked Questions

Delivery isn't displaying as an option for my customers. What should I check?

  • Confirm that at least one zone carries an Active badge. Inactive zones are not available to customers. If your zones are already active, refresh your menus.

Can my delivery zones overlap?

  • No. Delivery Zones can not overlap at this time.

How do I change a delivery fee?

  • Delivery fees are managed in your store's Fees area. Create or edit the fee there first, then attach it to a zone from the Delivery Fee dropdown.

I saved a change, but my customers still see the old settings. Why?

  • Refresh your menus after you save a zone or your store-wide delivery settings. Your changes display for customers once the menus refresh.

How do I pause delivery for one area without losing my setup?

  • Open the zone and select Save as Inactive. Your settings are preserved, and you can reactivate the zone whenever you're ready.

What happens when a delivery slot fills up?

  • Once a slot reaches its Slot Order Limit, it is removed as a checkout option. Customers select a different slot instead, which keeps your team from being overbooked.
