Flowhub Scan to Verify is an enhanced version of the Clear Cart When Order Is Submitted feature. Instead of clearing the cart entirely, Scan to Verify keeps all items and deals in the cart and marks each product as verified when the correct barcode is scanned. In this article, we'll guide you through using Scan to Verify so your team can confidently fulfill orders and catch potential mix-ups before they reach the customer.
Watch the video below to learn more about how this feature works.
Enable Scan to Verify
βοΈ Note: Only users with access to Store Settings can enable this feature.
Navigate to Store Settings > Cashier.
Locate the Order Fulfillment Options section.
Select the Scan To Verify toggle to enable it.
Select Save All Settings.
π‘ Tip: Scan To Verify and Clear Cart When Printing Order Ticket are separate options under Order Fulfillment Options. You can enable one or both depending on your store's workflow.
Verify Items in an Order
Select an order from the queue.
The Items In Order tab displays by default. Each item in the cart shows a verification status (e.g., "0 of 2 verified").
Scan the barcode on each product in the order.
Each successful scan updates the verification count for that item. For example, if an order contains two units of the same product, the first scan updates the status to "1 of 2 verified" and the second scan updates it to "2 of 2 verified."
Fully verified items display a green checkmark with the verified count (e.g., "1 of 1 verified").
Continue scanning until all items in the order are verified.
Select Notify Customer Order Is Ready once every item is verified.
π‘ Tip: Any deals or manager overrides applied to the cart remain in place throughout the verification process. Scan to Verify does not clear or modify the cart contents.
Manually Verify an Item
If a barcode is damaged or unreadable, a user with the Scan To Verify Manual Override permission can manually verify an item.
βοΈ Note: The Scan To Verify Manual Override permission is located under Carts in the user's role permissions. We recommend granting this permission to managers and above.
Select Verify Manually for the item that cannot be scanned.
Enter a manager PIN when prompted.
The user entering the PIN must have the Scan To Verify Manual Override permission enabled on their role.
The item displays as verified after a successful PIN entry.
Reset Verification on an Order
If a mistake is made during scanning and you need to start over, you can reset all verification progress on the order.
Select Reset on the order.
All verified items return to an unverified state, and the Verified column resets to 0.
Begin scanning items again from the start.
Handle a Wrong Package ID
If you scan a product that matches the correct item in the order but has a different package ID than what was originally reserved, a Wrong Package ID modal will display.
You can select Add To Cart to add the item with the new package ID, or select Cancel to dismiss the modal and scan a different unit. If you select Add To Cart, the item is added and marked as verified.
Frequently Asked Questions
Can I complete a transaction without verifying all items?
No. All items in the order must be verified before you can proceed with the transaction. Items can be verified either by scanning the barcode or by using the manual override with a PIN.
What happens to deals and discounts during verification?
Deals, discounts, and manager overrides that were applied to the cart are preserved. Scan to Verify does not clear or modify the cart in any way.
What is the difference between Scan to Verify and Clear Cart When Order Is Submitted?
Clear Cart When Order Is Submitted removes all items from the cart when an order is submitted, requiring the budtender to re-scan everything. Scan to Verify keeps the cart intact and tracks which items have been verified, making the process faster while still confirming accuracy.
Who should have the Scan To Verify Manual Override permission?
We recommend granting this permission to managers and above. It is found under Carts in role permissions and is intended for situations where a barcode is damaged and a product still needs to be sold.
Great work! π₯³ Your team can now use Scan to Verify to confirm every item in an order before checkout, reducing fulfillment errors and keeping your cart contents intact.
