Maui: How to Upgrade to Maui from Flowhub Classic

This article describes the process of upgrading from Flowhub Classic to Flowhub Maui.

Flowhub Maui is the future of Flowhub! Flowhub Classic will no longer be available after March 2024. If you're reading this, you're in the final batch of customers who haven't upgraded to Maui yet, and need to know how to complete your free upgrade.

Maui has been powering hundreds of dispensaries for over a year, and our customers are loving it.

We are so excited to help our Flowhub Classic customers upgrade to Maui! Learn more about the process below.

Understanding The Maui Upgrade Process

Upgrading to Flowhub Maui is a three-phase process that is self-directed by your team and it can be done in one week.

Sandbox Phase:

  1. We upload your current data from Flowhub Classic to a sandbox you can play around in and ask our team any questions you have. The Sandbox isn't hooked up to Metrc or to your Classic environment so that you can mess around in there with zero impact to your store's current operations.

    • Your Store probably already has a Sandbox created! Go to sandbox.flowhub.com and reset your password with the email address associated with your user in Classic to log in for the first time.

    • In your Sandbox, you’ll be able to see what data migrates over from Classic and how it all looks and works together.

    • There will be Product Tours and Checklists for your team to complete in the sandbox to help you navigate around the new platform.

    • When you're ready to move out of the Sandbox, you'll pick a go-live date, and we'll create your Permanent Environment for the next phase.

    • To access your sandbox, go to sandbox.flowhub.com.

  2. Permanent Environment Phase - Setting Up for Go Live (1 week):

    • You'll select a Go Live Date to begin making sales in Maui by completing this form.

      • Maui Go Lives are scheduled on Tuesdays, Wednesdays, or Thursdays to ensure we have the support staff available for anything you need.

    • We'll upload your data again to your store’s permanent Maui environment. Now you're logging into the "real" Maui!

      • Please allow 3-5 business days for us to create your Permanent environment from when it is first requested.

    • Your team checks over or sets up foundational components in your permanent environment, such as Employee Metrc API keys, Drawers, and new Maui API keys for your third-party integrators.

      • While we strongly recommend setting up these components in advance, we have seen stores set up the basics in a couple of hours and make sales on Maui that same day!

    • Your staff trains on Maui by using the in-app checklists and reviewing our Help Hub articles, and prepares to make the switch.

    • To download Maui to your POS terminals, visit download-maui.flowhub.com.

      • You can install Maui on Macs, PCs, and iPads.

      • You can also access Maui at app.flowhub.com.

        • Continue making all your sales on Flowhub Classic until your confirmed Maui go live date.

        • All sales should go through the Maui app.

  3. Go Live Phase (1 day):

    • We'll reload your data from Classic into Maui one last time to get the Customers, Inventory, Products and Sales that have been created since the initial data load, up through your last day of making sales on Classic.

    • On your scheduled go live date, your team makes sales in Maui instead of Classic.

      • We will block your ability to make sales in Flowhub Classic, so that it is clear to your staff that you will be making sales in Maui.

      • You will continue to have Reports-only access to Classic after going live on Maui.

      • If your store is using Clock In / Clock out in Classic, you'll also be able to keep using that feature in Classic after your Maui upgrade. (We're adding this to Maui soon!)

    • Once you begin making sales in Maui, you will not be able to return to Classic.

Kicking off your Store's Upgrade to Maui

To request a Sandbox and kick off your store's upgrade:

  1. Send us an email at upgradehelp@flowhub.com with the name of your store.

  2. Please include the email address(es) of those who will be our main point(s)of contact throughout upgrading.

    • We may already have a Sandbox built for your store! Try to reset your password at sandbox.flowhub.com and see if you receive a temporary password to log in for the first time!

    • When your Sandbox is ready, we will email your dispensary's main point of contact to let you know how to log in.

Getting Assistance During Your Upgrade

At any point in your Maui upgrade, you can reach out to our Upgrade Team directly at upgradehelp@flowhub.com.

  • The Upgrade Team is available from 8-5 p.m. MST Monday - Friday.

  • Can't get something figured out over email? Request a callback by providing us with the phone number to call, a good time for us to call, and some info about what you need help with.

    • Please understand that to keep this upgrade at no cost, we don’t offer any one-to-one meetings or training on Maui.

Using your Sandbox Effectively

The Maui Sandbox is a "risk-free" environment intended for you to click around in, knowing that no matter what you do in the Sandbox, you're not affecting anything in your Metrc, or your Flowhub Classic environment.

  1. Log into your Sandbox!

    • If you have not done so already, reset your password here to get logged into the Sandbox for the first time: https://sandbox.flowhub.com/forgotPassword.

    • You'll receive an email with the subject line “Flowhub Maui Account Setup” from noreply@flowhub.com.

      • Copy/Paste the temporary password in that email for the first login, and then you'll be immediately prompted to set your own custom password.

  2. When you log into your Maui sandbox, you’ll see the following:

    • A sample of your store’s data will be uploaded just as it will be when the complete upgrade takes place in Phase 2.

    • We have built-in checklists with product tours to help introduce you to the Maui platform.

  3. Checklists are in the Help Menu at the top of the window under Tasks. If you're having trouble accessing the Checklists directly in the App, you can find them here:

      • First select the "Help" icon from the purple bar at the top of the screen:

      • Then select "Tasks" from the lower right corner to view the checklists:

  4. Please note that any work you do in the sandbox (making test sales or creating new Products or Inventory) will not be transferred to your final Maui environment in the next phase.

    • Test Sales you make in the Sandbox will not push to Metrc and will not have any impact on your current store’s operations in Flowhub Classic.

Choosing a Go Live Date and Requesting a Permanent Maui Environment

  1. Fill out this form to request a Maui Permanent Environment and choose a Go Live Date for a Tuesday, Wednesday or Thursday at least 7 days out from when you're submitting your form. You will not be able to reschedule your go live date once you have submitted this form.

    • Please allow 3-5 business days for us to create your Permanent environment from when it is first requested.

    • Please note that Go Live Dates must be on Tuesdays, Wednesdays, or Thursdays.

  2. We will email your store's main point of contact when your Permanent Environment is ready to log in and set up.

Prepping Your Permanent Environment for Go Live

  1. Once we've let you know it's ready, log into your store's Permanent Maui Environment!

    • To log in for the first time, you'll reset your password, just like you did for the Sandbox: https://app.flowhub.com/forgotPassword

    • You'll receive an email with the subject line “Flowhub Maui Account Setup” from noreply@flowhub.com.

      • Copy/Paste the temporary password in that email for the first login, and then you'll be immediately prompted to set your own custom password.

  2. When you log into your Permanent Maui environment, you’ll see the following:

    • Your store’s data was uploaded just as it was uploaded to the Sandbox.

    • During this phase, your store will continue to make sales on Flowhub Classic.

    • Do not make any actual sales in Maui until your confirmed go live date.

  5. Set Up your Employees to Report Sales to Metrc, or import Inventory from Metrc (if applicable)

  6. Set Up your Third Party Integrations with New Maui-specific API Keys

    • Inform your third-party integrators (such as for online menus, order ahead, etc.) you will be switching to Maui, and provide them with new Maui API keys.

      • Please use this form to request those new Maui keys. Your Flowhub Classic integrator API keys will not work for Maui.

      • If you are live on Maui but your online menu still points to your old Flowhub Classic inventory, it is because you have not requested new keys.

Making the Switch: Night Before Go Live

  1. The night before go live:

    • Check out or remove all guests from the queue.

    • Close all drawers.

    • Close any leftover Order Ahead orders.

    • Ensure that all of your sales have been reported to Metrc.

    • Don’t forget to make sure your Employees have Metrc API keys!

    • Confirm your integrators know you’re upgrading to Maui

      • Inform your third-party integrators (such as for online menus, order ahead, etc.) you will be switching to Maui, and provide them with new Maui API keys.

        • Please use this form to request those new Maui keys. Your Flowhub Classic integrator API keys will not work for Maui.

  2. Make sure you have the Maui app set up on your terminals and your printers are configured:

Making the Switch: Day of Go Live

  1. On your scheduled go live date, once your data has been successfully uploaded to Maui, from your last day on Classic your Classic environment will indicate you should be making sales in Maui:

  2. If you have a Flowhub Pay terminal, all you will need to do is reboot the terminal on the day of go live.

  3. Log into Maui, and make your sales there! Congrats on making the switch, you did it!
