Customer Data Retention Settings

This article discusses the "Consents to Data Retention" setting that can appear on Customer profiles.

Certain states may require that explicit consent must be obtained from a Customer in order to retain identifying data about that Customer. To support these regulations, Flowhub Maui has a Data Retention Consent setting that enables check-in staff and budtenders to physically mark which specific Customers have given their consent to have their data saved.

Enabling Customer Consent for Data Retention on Customer Profiles

To have this setting enabled for your store(s), please reach out to your Flowhub representative or our Product Support team.

Collecting Customer Consent For Data Retention

  1. When the setting is enabled, each Customer profile will have a checkbox labeled "Consents to Data Retention," directly below the Customer Name field:

  2. When this Consent checkbox is checked/enabled, the Customer's Name and other identifying data within the profile will be retained post-sale. Purchase history, Notes, and any Loyalty Points will be tied to the Customer profile.

    • Please note: In order for a Customer to join a Loyalty program, data retention consent must be obtained, as a phone number or email address will be necessary to enroll the Customer in the program.

  3. When this Consent checkbox is not checked/disabled, the Customer's Name will be retained only for the duration of the sale. Post-sale, the identifying information about the Customer will be anonymized to "Rec Customer." Purchase history and any Notes will not be retained. Non-consenting customers may not join Loyalty.

  4. The Customer's Name will be retained for the duration of the sale only. It will appear in the Queue and in the Cart while the Budtender is fulfilling the transaction:

  5. After the sale is completed, the Customer's Name will be anonymised to "Rec Customer:"

  6. The below screenshot illustrates two sales. The 10:26am sale was conducted with a Customer who did NOT consent to have their data retained - "Rec Customer", and the 10:24am sale was conducted with a Customer who DID consent to have their data retained - "Consenting Data Denny":
